FREQUENTLY ASKED KEY FOB QUESTIONS

1. WHEN ARE THE FOBS AVAILABLE?

The FOBs are available now. We are in the process of distributing them. Once your FOB is ready for pickup, we will contact you at the phone number we have on file.

2. HOW TO CREATE AN HHPOA ACCOUNT?

If you do not have an account, you need to create one. To create an account, you need the code that was sent with your annual assessment. If you cannot find or have lost your code, please email chrisr@hhpoa940.org with your name and address, and we will resend the code to you.

3. HOW TO REQUEST A FOB?

Sign in to the portal at https://portal.hhpoa940.org.
Once logged in, click on Tickets

Then, "Create a Ticket."
Confirm your information
Choose "Request Key Fob" and then click "Submit."
You will be called when your FOB is ready

4. WHAT ARE THE DIFFERENCES BETWEEN THE CARD FOB AND THE KEY CHAIN FOB?

Card FOB: This FOB is similar in size to a credit card or a hotel key card. It's slim and fits easily in your wallet. Note that you cannot punch holes in it for attaching to a keychain.

Cost: Free for owners, $5 for non-owners.
 

Key Chain FOB: This FOB is small and round, roughly the size of a quarter and as thick as a bottle cap. It can be attached to a keychain for convenience.

Cost: $15 for owners, $20 for non-owners.

5. WHEN WILL THE FOB SYSTEM BE ACTIVATED?

The FOB system will be activated on June 22nd, 2024 for the Pool and July 3rd, 2024 for the Dumpster.

6. DO I NEED SEPARATE FOBS FOR THE POOL AND TRASH ACCESS?

No, a single FOB provides access to the pool, trash area, and the bathroom doors in the clubhouse.

7. HOW MANY FOBS CAN I GET?

Each owner is entitled to one FOB and can request an additional one. For example, if a property has two owners, each can receive one FOB and request another, totaling four FOBs for the property. Please note that you are responsible for any issues related to the FOBs you request.

8. HOW CAN I REQUEST ADDITIONAL FOBS?

To request additional FOBs do the following:
 

1. Owners log in to your HH Portal Account

2. Go to Profile then Sub-Accounts

3. In the upper right corner click Add Code

4. Select the property you wish to add the person to

5. Type in Email if you have it and their Name

6. Select Add code button

7. You will see the code give that person the code and have them go to      https://portal.hhpoa940.org/create/account/ to have them create
    their account.

8. Then the owner can log in and create their request for a KeyFob

9. I AM A RENTER HOW DO I GET MY FOB?

Your Landlord needs to create an account and then follow the How can I requestion Additional FOBs, which is question 8 of the Q&A. If they landlord has issues please have them contact the office.

10. WHAT ARE THE AVAILABLE PAYMENT METHODS FOR PURCHASING FOBS?

We accept payment for FOBs by check or money order only. Cash is not accepted.

11. WHEN DO I NEED TO PAY FOR FOBS?

You need to pay for your FOBs when you pick them up at the clubhouse.

12. CAN I PICK UP OTHER PERSON'S FOB?

Each member needs to bring their valid government ID to pick up their FOB. This means you cannot pick up someone else's FOB. If you are unable to make it to the office during office hours, please call 570-443-8108 to see if we can accommodate you.

13. MAY I BRING GUESTS TO THE POOL WITH MY FOB?

You are welcome to bring guests to the pool as long as you accompany them. If you are not with them, you need to register them as a visitor on the portal. To do this, visit https://portal.hhpoa940.org/, go to Profile, then Visitors, and add the visitor. Once completed, you can print out the pass and place it on the dashboard.

Please note that members in bad standing, including their family members, are not permitted to use the pool. It is your responsibility to ensure your guests follow the rules, as any violations will be attributed to the member who brought the guests.

14. WHEN DO I NEED TO REGISTER GUESTS?

​

You DO NOT need to register your guest if the following is met:
 

14a. If owner’s guest is coming to meet them on owner’s property
14b. If owner is going to the amenity with the owner in owner’s registered vehicle

 

You DO NEED to register the Guest if the following is met:
 

14c. Owner is giving their guest their FOB to use the amenities, an example would be the guest wants to use the pool without the owner
14d. Owner is going with their guest to use the amenities in their guest’s car

15. IS THERE EVER A TIME I CAN’T BRING A GUEST TO THE AMENITIES

A member in bad standing, or any of their family members, is not permitted to be a guest of any other member for the use of HHPOA amenities.

16. WHAT HAPPENS IF MY UNREGISTERED GUEST GETS PULLED OVER FOR BREAKING A HHPOA RULE?


They will ask who they are guests of, if they do not wish to answer they will be asked to leave the development, or the police will be called for trespassing. Their license plate will be noted and if they are found on the property again the police will be called for trespassing.

17. I AM IN BAD STANDING. CAN I USE THE AMENITIES?

Members in bad standing will have access to the dumpster only on Mondays from 4 PM to 7 PM. Please note that this is a transitional period, and this access will not be available in the future.

18. I AM ON A PAYMENT PLAN. DO I STILL GET TO USE THE AMENITIES?

Yes, you will have limited access to the trash and pool facilities. Please note that this is a transitional period, and payment plans will be different for the 2025-2026 fiscal year.

Monday: 4 PM to 7 PM


Tuesday and Thursday: 7 PM to 10 PM

Saturday: 6 AM to 12 PM

19. MY NON-OWNER CODE DOESN'T WORK

Non-owner codes were for individuals residing in the house but not listed as owners. These codes were deactivated on June 1st. If you need an account, please have the owner create a sub-account for you, as mentioned earlier in this Q&A.

21. HOW OLD DOES SOMEBODY HAVE TO BE TO GET A FOB?

You must be at least 16 years old and possess a valid government ID.

22. WHAT DO I NEED TO PICKUP MY FOB?

You need to present a valid government ID and, if necessary, provide a complete vehicle registration. Only the person who name is on the FOB can pickup the FOB. You are not allowed to pickup anybody elses FOB. If you need special arreagments please reach out to the office 570-443-8108 or email office@hhpoa940.org.

23. WHEN CAN I PICKUP MY FOB?

We will call you when your FOB is ready for pickup. If you have any questions about its status, please contact the office during business hours at 570-443-8108.

24. WHO CAN BE ADDED TO MY SUBACCOUNT?

Any family member or friend that you wish. Owners cannot be on a sub-account and members in bad standing cannot be on a sub-account.

25. I HAVE SIGNED A PAYMENT PLAN, WHEN DO I GET ACCESS?

When you make your first payment on the payment plan, your key fob will be activated to provide Payment Plan access to the amenities.
